An RN license, a CPR card, and a TB test all expire on different dates, and a surveyor who finds a lapsed one writes a deficiency. CredentialHQ keeps every date on one record per caregiver and shows you what is coming due in the next 30, 60, or 90 days.

Know which faxed orders came back.

Most agencies track faxed orders on a whiteboard or a color-coded spreadsheet: out, waiting, signed, lost. FaxHQ is that board, in one place your whole office shares. You fax a physician order from FaxHQ, and the order stays on the open list until it comes back signed, so you always know what is still out and who to chase.

The fax going out is the easy part. TracHQ is the worklist for everything after: which orders are still out, who called the office, what they said, and when to try again. Call notes sit on the same order as the fax that started it. Not built yet.

How setup works

  1. Set up your workspace

    Create one CareHQ account for your agency and add your team. Each person gets a role that decides what they can see.

  2. Switch on the tools you need

    Turn on FaxHQ, CredentialHQ, or TracHQ. Your team, your bill, and your branding carry across whatever you enable.

  3. Everyone signs in once

    Your staff open every tool from the same place with one login. No second password, no separate invoice to chase down.

What keeps patient data safe

A Google Workspace business associate agreement covers the storage and services that touch PHI. The protections live in the code and the database, not just on this page.

Encrypted at rest

PHI is encrypted with per-record keys. It never sits in a plain text field, a file name, or a link.

Only on covered vendors

We will not put PHI on a vendor that has not signed a business associate agreement.

Locked down by role

Row-level rules in the database decide who can read a record. A contracted follow-up user can see that an order is open and cannot open the order itself.

Every access logged

Every read and every change to PHI is written to an audit log with the user, the record, and the timestamp.
